Transform Your Onboarding Process: Google Sites, Loom Videos, and Chrome Extensions Unleashed!

Take a look at the tools I’ve used today to kick off an easily accessible repository of SOPs (Standard Operating Procedures), to onboard new team members.

• Google sites

• Loom (or use descript, for both video and transcriptions)

• Chrome extensions Tango, Uphint and Scribe for “how-to guides and SOPs in seconds”

Creating a Centralized SOP Repository with Google Sites

• Sign up for a Google Workspace account, if you haven't already, and navigate to Google Sites (sites.google.com).

• Create a new site and customize the layout, theme, and navigation to reflect your branding.

• Set your site share settings to be accessible by team members only

• Organize your SOPs by creating separate pages or sections for different departments or processes.

Now prepare to add text, images, videos, and other relevant content to each SOP page.

Recording Video Walkthroughs with Loom

Loom is a fantastic tool for capturing video walkthroughs of your processes, making it easier for team members to understand and follow SOPs.

• Sign up for a Loom account and install the Loom desktop app or Chrome extension.

• Open the Loom app and select your desired recording settings (camera, microphone, and screen capture options).

• Start recording your walkthrough, demonstrating the steps involved in your process.

• When finished, upload your video to Loom, and copy the embed code to add the video to your Google Sites SOP page.

Using Chrome Extensions for Capturing and Annotating SOPs

Various Chrome extensions can help you capture and annotate screenshots, making your SOPs even more accessible and user-friendly.

• Install a Chrome extension such as Tango, Uphint or Scribe.

• Click on the extension icon and work through the process you’d like to document.

• Save your annotated screenshots and upload it to your Google Sites SOP page.
